SourceWhale Pricing and SourceWhale Cost per User for Every Module
The short answer
SourceWhale does not publish a price. Its pricing address redirects to a demo booking form, and no plan, seat minimum, contract term or trial appears anywhere on sourcewhale.com. Outside estimates put a seat near $200 to $290 per user a month, about $2,400 to $3,500 a year, but none of them traces that range to a primary source. Vendr's buyer guide reports contracts from about $3,300 to $17,000 a year, averaging about $12,000. Contact data is metered separately in Data credits, with no published allowance.
SourceWhale's own site read 14 October 2026, every outside figure traced to its source

What SourceWhale actually charges
SourceWhale pricing as far as anyone can verify it, read on 14 October 2026
We opened sourcewhale.com/pricing on 14 October 2026. It redirects to the demo form, so there is no rate card to read. The rows below collect every figure in circulation, say who published it, and say how far it can be trusted.
| Plan | Price | Billing | Where the figure comes from | Best for |
|---|---|---|---|---|
| SourceWhale rate card Stated by SourceWhale | None published | sourcewhale.com/pricing redirects to sourcewhale.com/book-demo. The form asks whether you are in-house or an agency and your company size, from 1 to 1000+ | No plan names, no seat minimum, no contract length and no trial are stated on any of the nine product pages we read | Nothing to budget from. Every SourceWhale price is a quote |
| Module floor, as told to a reviewer Third party, not published | From $12 per user a month, per module | Reported by MindHunt, which says SourceWhale gave it this figure in correspondence in July 2026. Not on SourceWhale's site | The cheapest single module. A working outreach desk needs several modules plus contact data, so this is a floor, not a seat price | Checking that a quote is built from modules, not one bundle |
| Typical seat, per third-party roundups Third party, not published | About $200 to $290 per user a month | Repeated by Pin, Fabric, MindHunt and others, roughly $2,400 to $3,500 a user a year. HeroHunt checked and found it does not trace to a primary source | Usually described as a full outreach seat on annual billing. Treat it as an asking price to test, not a fact | A rough ceiling to compare a first quote against |
| Annual contracts, per Vendr Third party, not published | About $3,300 to $17,000 a year, average about $12,000 | Vendr's SourceWhale buyer guide, based on its internal transaction data. No per-user figure is given | Whole contracts, so team size, modules and data volume are all mixed in. Vendr does not say how many deals it is based on | Sanity checking the total on a proposal |
| Data credits Stated by SourceWhale | Usage based, unpriced | SourceWhale says it uses Data credits when recruiters search for new contact information, and that usage can be tracked per team | One search runs across multiple data providers. No credit allowance or top-up price is published | The line most likely to move your bill after signing |
| SourceWhale CRM and ATS Stated by SourceWhale | Quoted | Sold as the system of record the platform is designed around. Migrations offered from Bullhorn, Vincere, JobAdder and Loxo | Recruitment CRM and applicant tracking in one place, with sourcing, outreach, the dialer and the notetaker on top | Agencies willing to replace their current ATS, not only add outreach to it |
Before you budget
What moves a SourceWhale quote up or down
SourceWhale now sells eight modules and its own CRM and ATS. The quote is the sum of the ones you take, the seats that use them and the contact data they consume.
Data credits for contact lookups
Metered, not published
SourceWhale searches more than 30 named data providers in one lookup, including Apollo, Cognism, ContactOut, Lusha, RocketReach and Kaspr. Ask how many credits a seat includes, what a found email and a found phone number each cost, and what top-ups cost.
Dialer with SMS and WhatsApp
Module, quoted
Calls, SMS and WhatsApp with recording, transcript and an AI summary written back to your ATS or CRM. Phone numbers and messaging carry usage costs, so ask whether they are inside the seat.
Notetaker and Inbox Agent
Modules, quoted
The notetaker joins Zoom, Teams and Meet and updates records. The Inbox Agent drafts replies in Gmail and Outlook and never sends on its own. Both are separate lines on most proposals.
Replacing your ATS
CRM and ATS, quoted, plus migration
SourceWhale says the full platform is designed around its own CRM and ATS. If you keep Bullhorn or Loxo, confirm which features still work through the integration and which need the switch.
Seats for non-recruiters
Per user
Business development staff and account managers often need outreach seats too. Count every sender before you compare quotes, because a per user price scales with them.
What teams actually pay
SourceWhale cost per year against HireAgent, at three team sizes
SourceWhale publishes nothing, so the SourceWhale column uses the $200 to $290 per user a month range that circulates in third-party roundups, times twelve. It is an estimate to test a quote against, not a SourceWhale price. Our column is the listed HireAgent plan on annual billing.
| Scenario | SourceWhale (third-party estimate) | HireAgent | Worth knowing |
|---|---|---|---|
| One recruiter | $2,400 to $3,480 a year (estimate) | $1,794 a year (Solo, 1 seat, up to 3 open roles) | A one person desk is the case SourceWhale prices least clearly, because Vendr's lowest reported contract is about $3,300. HireAgent also finds, screens and ranks the candidates before any outreach goes out. |
| Three recruiters | $7,200 to $10,440 a year (estimate) | $4,794 a year (Growth, 3 seats, up to 10 open roles, ATS integration) | Three SourceWhale seats at the estimated range cost more than our Growth plan before any data credits. SourceWhale sends the sequences, so the screening is still yours. |
| Ten recruiters | $24,000 to $34,800 a year (estimate) | $11,994 a year (Scale, 10 seats, high sourcing volume, SSO) | At ten seats the estimate is above Vendr's highest reported contract of about $17,000, which suggests real quotes for larger teams come in below list. Negotiate from the Vendr figures. |
SourceWhale figures are the untraced third-party range of $200 to $290 per user a month times users times twelve, before data credits, the dialer and any CRM and ATS migration. Vendr reports real SourceWhale contracts between about $3,300 and $17,000 a year. HireAgent plans scale with seats, open roles and sourcing volume and are shown at the annual rate. HireAgent does not replace an ATS. Treat this as the shape of the two pricing models, not as a quote.
What SourceWhale publishes, read at sourcewhale.com on 14 October 2026
We opened sourcewhale.com/pricing on 14 October 2026. It redirects to sourcewhale.com/book-demo, a form that asks whether you hire in-house or for clients and how big your company is. There is no plan name, no price, no seat minimum, no contract term and no trial anywhere on the site. The buttons read "Book a demo" and "Book a free demo". The demo is free. The product is quoted.
The same page makes one pricing argument of its own: "You're paying for up to ten separate tools, and the bill climbs every year." That is the pitch. SourceWhale wants to replace your sourcing tool, contact data subscriptions, sequencer, dialer, notetaker and, increasingly, your ATS, with one contract. Whether that is cheaper depends entirely on what you pay for those tools today, which is why the demo form asks about company size before anyone mentions a number.
SourceWhale is headquartered in New York and sells mainly to recruitment agencies. Its site lists eight modules: Sourcing, Data, Outreach, Inbox Agent, Dialer, Notetaker, Data Refresh, and its own CRM and ATS. The integrations page lists 62 ATS and CRM connections, Bullhorn, Crelate, JobAdder, JobDiva and Vincere among them, and 31 named data providers.
How much does SourceWhale cost per user?
Nobody outside a SourceWhale proposal knows for certain. The figure you will see most often is $200 to $290 per user a month, roughly $2,400 to $3,500 a year. Pin, Fabric and MindHunt all print it. HeroHunt, which checked the trail in September 2026, reports that the per-user numbers do not trace back to a primary source, and that the only traceable per-seat figure is $195 a month from a 2021 demo of Interseller, a different product.
Two figures have a better trail. MindHunt says SourceWhale told it in July 2026 that pricing starts from $12 per user a month, depending on the module. That is believable as a floor for a single light module and meaningless as a seat price for an agency recruiter who needs sourcing, data and sequences. Vendr's SourceWhale buyer guide, built from its own transaction data, reports annual contracts from about $3,300 to $17,000 with an average of about $12,000. Those are whole contracts, so they fold team size and modules together.
Put the two together and a fair reading is this: a full outreach seat lists somewhere near the quoted range, and the contracts that actually close are smaller than that range implies for big teams. If your first proposal for ten seats is far above $17,000, you have room to negotiate. Our wider survey of AI recruiting software pricing shows the same gap between list and closed price at hireEZ, SeekOut and Gem.
What a SourceWhale quote is made of
Sourcing is natural language search that returns a ranked list from your own CRM and ATS alongside millions of public profiles. Data looks up emails and phone numbers across several providers in one search and charges Data credits for each lookup. Outreach runs campaigns that mix email, LinkedIn and phone steps, with the LinkedIn steps created as recruiter to-dos rather than automated. The Chrome extension works on LinkedIn, Recruiter, Sales Navigator and more than 100 other sites.
Around that core sit the newer modules. The Inbox Agent drafts replies inside Gmail and Outlook, and SourceWhale states that AI replies are never sent automatically. The Dialer handles calls, SMS and WhatsApp with recordings, transcripts and AI summaries. The Notetaker joins Zoom, Teams and Meet, updates candidate and role fields and can draft a job from an intake call. Data Refresh updates existing records as providers return new details, while protecting fields a person edited for 30 days.
The biggest change for pricing is the CRM and ATS. SourceWhale started as an outreach layer that sat on top of Bullhorn and similar systems, and many review articles still describe it that way. Its site now says the full platform is designed around SourceWhale CRM and ATS as the central system of record, and it offers migrations from Bullhorn, Vincere, JobAdder and Loxo. If you are keeping your ATS, ask the rep to price the outreach modules alone, and to say in writing which features need the switch.
Does SourceWhale have a free trial?
No trial is offered on sourcewhale.com. The only free thing on the site is the demo. Several roundups say the same, and Pin's comparison states that there is no free trial to test the fit first. If you want to test before signing, ask for a paid pilot on a few seats for one quarter, with the right to scale or exit at the end of it.
That matters more for SourceWhale than for a tool with a published price. Without a trial or a rate card, the only way to judge value is to measure reply rates and placements on your own desks. Agree the measures before the pilot starts: replies per hundred candidates contacted, interviews booked, and recruiter hours saved a week.
Is SourceWhale worth it for a recruitment agency?
It can be, for a business development heavy agency that sends a lot of multi-step outreach to both candidates and clients and wants calls, notes and sequences logged without recruiter typing. The testimonials on its homepage come from agency business development leaders. The integrations list is long, and the Bullhorn, JobAdder and Vincere connections are the ones agency buyers ask about most.
The case against is that SourceWhale makes outreach efficient but leaves the judgment in the middle to you. Somebody still decides which of the forty people in a search are worth a sequence. If that reading and ranking is your bottleneck, a cheaper sequencer will not fix it. Our guides to the best candidate outreach tools for recruiters and to prospecting tools for recruitment agencies compare the published alternatives for each half of that job.
HireAgent works on the other half. Give it a role brief and it sources matching candidates, screens and ranks them against structured criteria into a shortlist with the evidence behind every score, drafts personalized outreach and books interviews, and a person approves every decision. Plans are $299, $799 and $1,999 a month, or $1,794, $4,794 and $11,994 a year on annual billing. Many agencies keep their ATS and run HireAgent next to it, which is the setup our page on an AI recruiter for staffing agencies describes.
Questions to ask on a SourceWhale demo
What is the price per user, per module, and which modules are in this quote? Get each module as its own line, so you can drop one later without renegotiating the whole contract.
How many Data credits does each seat include, what does a found email and a found phone number cost, and what do top-ups cost? Data is metered, and it is the line most likely to grow after you sign.
What is the contract term, the renewal increase and the cancellation notice? Nothing on the site states them, so get all three in writing, along with a cap on the year two increase.
Which features need SourceWhale CRM and ATS, and which work through our current ATS? If the answer is most of them, the real decision is an ATS migration, and it should be compared with Bullhorn pricing and Loxo pricing rather than with another sequencer. If you are still choosing, our guide to SourceWhale alternatives prices the options agencies shortlist against it.
Keep the outreach, hand over the shortlist
HireAgent sources candidates against your criteria, screens and ranks them into an explainable shortlist, drafts the outreach and books the interviews, next to the ATS you already run. Plans start at $299 a month, published, and a human makes every hire.

FAQ
SourceWhale pricing questions, answered
The questions buyers actually ask before they sign.
How much does SourceWhale cost?
SourceWhale does not publish prices. Its pricing page redirects to a demo form. Third-party roundups put a seat near $200 to $290 per user a month, but that range is not traced to a primary source. Vendr reports annual SourceWhale contracts from about $3,300 to $17,000, averaging about $12,000.
How much does SourceWhale cost per user?
There is no published per user price. SourceWhale reportedly told one reviewer in July 2026 that pricing starts at $12 per user a month per module, while roundups cite about $200 to $290 per user a month for a full outreach seat. Ask for a per user, per module breakdown on the quote.
Does SourceWhale have a free trial?
No free trial is offered on sourcewhale.com, read on 14 October 2026. The demo is free, and every plan is quoted after it. If you want proof before a full contract, ask for a short paid pilot on a few seats with agreed measures such as reply rate and interviews booked.
Is SourceWhale an ATS?
It now is. SourceWhale started as an outreach layer on top of systems like Bullhorn, and it still integrates with more than 60 of them, but it now sells its own recruitment CRM and ATS and says the full platform is designed around it. It offers migrations from Bullhorn, Vincere, JobAdder and Loxo.
What are SourceWhale Data credits?
Data credits are what SourceWhale charges when a recruiter searches for new contact information, such as an email address or phone number. One search queries several data providers. SourceWhale does not publish how many credits a seat includes or what extra credits cost, so ask for both on the quote.
What is a cheaper alternative to SourceWhale for a small agency?
It depends on what you need. For outreach with sourcing, Juicebox publishes $99 a seat on annual billing and Fetcher $115 a month. For a full agency platform, Recruiterflow lists $119 a user annually and Loxo Core $149. HireAgent, which sources, screens, ranks and drafts outreach, starts at $299 a month.

Loxo vs Bullhorn
Bullhorn publishes $99 and $165 a seat with no AI on either tier, Loxo publishes $199 with the sourcing index and the agents included. The gap is $34 a month.
Loxo vs Juicebox
One bundles its agents into a $199 seat, the other charges $199 per agent on top: pooled against per-seat credits, and why only Juicebox has a cost per contact you can compute.
hireEZ vs Gem
Each publishes one narrow price: hireEZ for a single recruiter, Gem for companies of 1 to 10 FTE. Above that both quote, on different yardsticks.
