The short answer
Recruitment automation software costs $15 to $200 per recruiter a month when the automation is workflow rules and email sequences inside an ATS, and it jumps to a quote the moment the AI does the work. Manatal starts at $15 a user on annual billing, Recruit CRM puts sequences on its $135 Business plan, Recruiterflow sells its Platform at $119 a user, and Bullhorn's $165 Core seat has no AI at all. AI agents that source, screen and book interviews are either quoted (Bullhorn Max, Recruiterflow AIRA, HireVue, Paradox) or sold flat, like HireAgent at $299 to $1,999 a month.
Prices read on each vendor's own US pricing page between 13 and 23 October 2026, annual billing unless stated.
What recruitment automation software actually costs, by layer
"Recruitment automation" covers five different jobs, and vendors price each one differently. A buyer who compares a $35 ATS seat with a $20,000 interviewing contract is comparing two different products that happen to share a category name. The cleaner way to budget is to decide which layer you are buying and price that layer.
| Automation layer | What it automates | Published prices | Quoted only |
|---|---|---|---|
| Workflow rules in the ATS | Stage changes, status emails, tasks, reminders | Manatal $15, $35, $55 a user; Bullhorn Starter $99, Core $165; Recruiterflow $119 | Bullhorn Recruitment Automation as a standalone product |
| Outreach sequences | Multi-step email follow-ups to candidates and clients | Recruit CRM Business $135 a user; Recruiterflow Platform $119; Juicebox Growth $179 with 3 mailboxes | SourceWhale, Gem |
| AI sourcing | Finding people who match a brief, with contact data | Juicebox from $99 a seat; SeekOut Recruit Core $149 for 3 seats; Fetcher $115 to $649 a month | hireEZ teams, SeekOut Sourcing, Findem |
| Screening and interviewing | Reading applications, chat or video screens, scoring | Manatal AI Interviewer is an add-on with no printed price | HireVue, Paradox, Bullhorn Max |
| End-to-end AI agent | Source, screen, rank, write outreach, book interviews | HireAgent $299, $799, $1,999 a month; Juicebox Agents $199 an agent | Recruiterflow AIRA, Loxo agent capacity above the included credits |
Read across the right-hand column and a pattern shows up that holds for six vendors we track: the vendor prints the price of the manual tier and quotes the tier where the AI does the work. Bullhorn's Starter and Core plans list no AI, while AI search and match, agentic screening and multi-step outreach sit on Pro and Max, both "Talk to us". Recruiterflow publishes Platform and quotes AIRA. LinkedIn, Crelate and hireEZ follow the same shape. That is the single most useful thing to know before a demo, because the number on the pricing page is rarely the number for the product you watched.
How much does recruitment automation software cost per user?
For ATS-based automation, plan on $35 to $165 per recruiter a month on annual billing. The low end is Manatal: $15 a user on Professional, but Professional caps you at 15 jobs per account, so most agencies land on Enterprise at $35 a user ($39 monthly). The middle is Recruit CRM and Recruiterflow at $95 to $135 and $119 respectively. The top of the published range is Bullhorn Core at $165, which buys a mature staffing ATS with free implementation and, again, no AI.
Per-user pricing hides one trap: credits. Recruit CRM gives 100, 200 or 2,000 credits per user depending on plan, worth about $0.10 each, and contractor timesheets consume them. Juicebox meters contact and export credits per seat. Loxo meters agent work in credits rather than contacts. Ask every vendor what is metered, what the allowance is per seat or per account, and what the overage rate is. Without those three numbers the seat price tells you very little. Our wider AI recruiting software pricing survey lists the allowances vendor by vendor.
Is recruitment automation software priced per user or per hire?
Almost always per user or per program, never per hire. ATS and sourcing tools charge per recruiter seat, sometimes with a seat minimum (SeekOut Core includes three seats and sells no fourth). Screening and interviewing platforms price an annual program on hiring volume: HireVue's real purchases on Vendr showed a median of $20,900 a year on 23 October 2026, and Paradox contracts are reported at $30,000 to $95,000 a year before implementation. Agent products split: some charge per agent, some flat by capacity. HireAgent's plans scale with seats, open roles and candidates screened per month, so a three-recruiter team with ten roles open pays $799 a month, or $399.50 a month on annual billing.
Recruiting automation software cost for a five-recruiter agency
Abstract ranges do not help much, so here is the same desk priced four ways. Five recruiters, a few dozen open job orders, annual billing, before any credits or overages.
| Stack | Monthly cost | What you get | What you still do by hand |
|---|---|---|---|
| Manatal Enterprise, 5 users | $175 | ATS, unlimited jobs, AI recommendations and copilot | Sourcing outside the ATS, outreach sequences, AI interviews (paid add-on) |
| Recruit CRM Business, 5 users | $675 | ATS and CRM, sequences, invoicing | Sourcing passive candidates, screening and ranking |
| Recruiterflow Platform plus Juicebox Starter, 5 each | $595 plus $495 = $1,090 | Agency ATS and CRM with sequences, plus AI sourcing with 500 contact credits a seat | Screening and ranking, interview booking, anything AIRA does |
| Bullhorn Core, 5 users | $825 | Staffing ATS, free implementation | Everything AI. Search and match, screening and outreach sit on quoted Pro and Max |
None of those four stacks screens and ranks candidates for you. That is the expensive part of a recruiter's week, and it is the part the published plans leave out. You can add it in two ways. Upgrade to the vendor's quoted AI tier and negotiate, or keep the ATS you have and put an agent next to it. HireAgent's Scale plan covers ten seats and 40 open roles for $1,999 a month, or $999.50 a month billed yearly, and Growth covers three seats and ten roles for $799. It sources matching candidates, screens and ranks them against your criteria into a shortlist with the evidence behind each score, drafts the outreach and books the interview, and a recruiter approves every step. It sits beside the ATS rather than replacing it, which is why the comparison is with the AI upgrade, not with the seat.

Hidden costs in recruitment automation pricing
Implementation. Published seat tools mostly include setup or charge little. Quoted platforms bill it separately: $15,000 to $40,000 is reported for HireVue and $15,000 to $35,000 for Paradox, before a custom ATS connection. Bullhorn prints "free implementation" on Starter and Core but not on Max. If a quote has no implementation line, ask for one in writing rather than assume it is zero.
Annual prepayment. The cheapest figure on most pages is the annual rate, and some vendors collect it up front. Five Loxo seats at the $199 rate in its credits section come to $11,940 at signing. Check whether "annual" means billed monthly on a yearly commitment or one invoice on day one.
Scheduling as an add-on. Interview scheduling is often bundled in ATS plans but is reported as a separate line on HireVue's entry plan. If hiring managers' calendars are the bottleneck, price it explicitly. For the meetings outside hiring, such as client calls and internal syncs, a general AI office assistant that schedules meetings is often cheaper than a recruiting module. For interviews themselves, our page on automated interview scheduling covers what to expect.
Compliance work. If you hire in New York City, automated tools that score candidates need an annual bias audit and candidate notice under Local Law 144, and other states have similar rules. Ask who produces the audit and who pays for it. Our AI hiring laws guide lists the obligations by state.
Which recruitment automation software is worth paying for?
Buy the layer that matches where your recruiters' hours go. If the hours disappear into status emails and moving candidates between stages, an ATS with workflow rules at $35 to $135 a user pays for itself in the first month, and Manatal or Recruit CRM is enough. If the hours go into follow-ups, buy sequences, which Recruiterflow and Recruit CRM Business include. If the hours go into high-volume applicant screening for hourly roles, a quoted interviewing platform earns its contract; see what buyers report paying in HireVue pricing before you take a call.
If the hours go into finding the right people, reading profiles and deciding who is worth a call, that is the work the published ATS plans do not touch and the quoted AI tiers charge most for. That is what HireAgent was built for. You write one role brief, and it returns a ranked shortlist with the reasons behind every rank, the outreach drafted and the interviews booked. Plans start at $299 a month with no implementation fee, and you can compare them on the pricing page. Vendor pages for the tools above, with the read dates, are on Recruiterflow pricing, Bullhorn pricing and Manatal pricing.
Questions to ask before you buy
Is the AI in the plan you are quoting? Ask the rep to name the plan and list which features from the demo are not in it. With six vendors pricing the manual tier and quoting the AI tier, this question alone changes most proposals.
What is metered, and what is the overage rate? Credits, contacts, exports, interviews or candidates screened. Get the allowance, whether it is per seat or pooled, and the price above it.
What does year two cost? Several of the lowest prices on these pages are labeled as new-customer or limited-time offers. Ask for the renewal price and the cap on increases in writing.
Can you run it on a role you already filled? Write the brief for a search you closed last quarter and see whether the tool finds the person you hired. Twenty minutes on a known answer tells you more than any demo.
