The per-user price is the part that gets published. These are the lines that move a boutique's first-year bill, and most of them can only be negotiated before you sign.

Recruiterflow offers a free CSV import or a paid white-glove migration it says takes 6 to 8 weeks, priced on data volume and sometimes waived on multi-year terms. Loxo migrates free at three seats or more. Twenty years of candidate notes and assignment history is the asset you are moving, so get the fee in writing.

Four names that come up in every executive search shortlist publish nothing. Ezekia's pricing route opens a sign-up form rather than a rate card, Thrive TRM's pricing URL returns a 404, Invenias is sold through Bullhorn sales, and FileFinder is quoted by its client success team. Any number you read for those four comes from somebody other than the vendor, and the roundups ranking for this query disagree with each other by a factor of two for exactly that reason.
The search-specific detail that changes the bill is what sits on which tier. Two things stand out once the figures sit in one grid. First, published per-seat prices for search-grade CRMs cluster tightly between $119 and $199, so the headline price rarely decides the purchase. Second, the features that do decide it, the portal and the AI, move between tiers from vendor to vendor. Only two plans with a fixed published price carry both a client portal and AI. Clockwork puts them on its single $149 plan, and Crelate Business has client portals and an AI Assistant at $119, while Crelate quotes the tier with premium portals and BD workflows. Recruiterflow prints its CRM at $119 and quotes its AI agents.
What drives the cost of an executive search CRM
Seats. Every platform on this page except 100Hires prices per user. A boutique that counts researchers, coordinators and a part-time partner as users can easily double its seat count over its consultant count. Ask whether read-only or client users are free, because a client portal that charges per client login changes the math quickly.
Annual commitment and payment terms. Clockwork's annual rate is $30 a user a month below its monthly rate, Recruiterflow's is $30 below too. Loxo publishes only annual pricing and takes it up front. Access Vincere Evo is the exception, with Startup and Core on a 30-day rolling contract that you can cancel.
Migration. Retained firms carry years of candidate notes, assignment histories, references and target company lists. Recruiterflow's page describes a free self-serve CSV import and a paid white-glove migration priced on data volume that it says takes 6 to 8 weeks. Loxo migrates free for teams of three or more seats. Get the fee, the scope and the timeline in writing, because a migration that stalls means paying for two systems.
Data and contact credits. Research is the expensive part of a retained search, and vendors meter it differently. Loxo Professional includes 2,500 credits per user a month, pooled across the team, with Boost tiers sized by its sales team. Leonar bundles enrichment credits for its Phone and Email Finder. Clockwork connects to third-party enrichment. Count the profiles in your last three longlists before you judge an allowance.
Client portal and AI tiers. These are the two features most often placed one tier above the published price, covered in the next two sections. They are also the two your clients and your consultants will notice first.
Executive search software with a client portal, and what it costs
A client portal is what lets a hiring company log in and see the longlist, the shortlist, target companies and progress notes without waiting for the Friday report. For a retained firm it is part of the product the client is paying the retainer for, which is why it shows up early in most demos. Clockwork includes its Client Collaboration Portal on the one $149 plan, with client upvotes, downvotes and comments on candidate profiles, target company lists, automated search reports, research coverage reporting and controls over what each client sees and when. That makes it the clearest published price for a portal in this category.
Crelate includes client and team portals on Business at $119 a user, annual or monthly, and moves premium client portals to Business Plus, which its page markup starts at $149 and its visible card lists as custom. AI executive search software and where the AI sits
Almost every vendor here now describes itself as AI-first. The useful question is narrower: which AI is on the plan you can see a price for, and which tasks does it actually take off a consultant.
Clockwork includes generative AI that drafts the position brief, generates search criteria and benchmark competencies from industry and past search data, and scores and rates the longlist against those criteria, all on the published $149 plan. Loxo Core includes AI natural-language search over your own records, and Professional adds Loxo Source on what Loxo describes as an 850 million profile talent graph with every agent on every seat. Crelate puts AI sourcing on Essentials, an AI Assistant on Business and an Advanced AI Assistant on Business Plus. Access Vincere Evo adds AI candidate matching, shortlisting and agents from Core.
Recruiterflow is the clearest case of a split. Its Platform plan at $119 a user is the CRM, sequences and automation. Its AI agents, including Matchmaker, Notetaker, Job Change Alerts and the Submission Agent, are on the AIRA plan, which is custom priced, even though the page's structured data describes a $119 plan with AI agents. For a boutique, AI inside the CRM mostly helps you work through people already in your database. The harder job in executive search is the research itself: building the universe from target companies, finding the people who are not in your database and not applying, and reading enough of each career to know who is a real fit. Loxo wins if you want sourcing inside the CRM. Professional puts a large talent graph and agents on every seat, which is useful when the CRM is also your research tool. Access Vincere Evo wins on flexible contracts. A 30-day rolling contract is rare in this category. It prices in pounds, its feature list leans toward UK agency work such as right-to-work checks and timesheets, and the Client Portal is on Pro.
Ezekia, Thrive TRM, Invenias and FileFinder are engagement-first platforms with long histories in executive search and no published price. If one is on your list, ask for the per-user price, the portal price and the migration fee in the first call so you can put them in the same table as everyone else.

That is the hours-heavy part of a retained search, and it is the part a boutique with three consultants cannot scale by hiring.
How to choose before the first demo
Write down four numbers before you take any calls: how many people need a seat, how many searches you run at once, how many profiles a typical longlist holds, and how many clients expect portal access. Those four decide which tier you are really buying.
Then ask every vendor the same five questions. What is the per-user price on the tier with the client portal? What is the price of the tier with the AI we saw in the demo? What does migration cost and how long does it take? What is the year-two rate? Is there a seat minimum? Vendors that publish prices answer these in minutes. Vendors that do not will need a follow-up, which is useful information in itself.
Finally, run one live search through each finalist during the trial, with your own position spec and your own target companies. The rate card tells you what the software costs. One real search tells you how many hours it saves, and for a boutique billing a third of first-year compensation, those hours are worth far more than the seat price difference.
