What moves a Gem bill beyond the seat price

The firm card is one of the clearest in recruiting software. These are the lines it does not price, and they decide what a growing firm actually pays.

The user caps

3 on Essentials, 10 on Professional

The fourth recruiter forces Professional, a 50 percent higher seat price for everyone on the account, and the eleventh forces a custom Enterprise quote. Gem recommends one license type for all users, so you cannot mix cheap and expensive seats.

What Gem publishes, read on both pricing pages on 17 September 2026

Gem splits its pricing by who is buying. The main page at gem.com/pricing is for in-house talent teams and shows two products, Gem + Your ATS and Gem All-in-One, both marked custom pricing based on your company's FTE count. The only figure on that page is the Startup Program. A second page, gem.com/staffing/pricing, is for recruiting and staffing firms, and it carries a full rate card with prices, user caps and credit allowances. Most of the confusion around Gem pricing comes from mixing the two up.

The firm card has three plans. Essentials is $99 per user a month billed yearly or $139 billed monthly. It includes Gem's all-in-one system (ATS, CRM, sourcing, scheduling and analytics), 150 email-finding credits per user a month, one-click adds from 30+ social sites, multi-step and multi-channel sequences, outreach on behalf of clients and read-only project sharing, for up to 3 users per account. Professional is $149 yearly or $199 monthly, adds 750 email-finding credits per user and support team access, and allows up to 10 users. Enterprise is custom.

Both priced plans offer a 7-day trial. Gem accepts major credit cards only, not bank transfers or checks, and its FAQ is explicit that these plans are for businesses whose primary function is placing candidates for clients. Corporate talent teams, VC firms and private equity firms are not eligible and are sent to sales.

The toggle on the firm page says save 25 percent on yearly billing. That is exact for Professional, where $149 against $199 is 25.1 percent off. On Essentials the real saving is larger: $99 against $139 is 28.8 percent, or $480 per user a year. For the in-house market the pattern matches the rest of the category, and our survey of AI recruiting software pricing found the same published-entry, quoted-everything-else split at SeekOut, LinkedIn and hireEZ.

Gem Essentials vs Professional: which plan a recruiting firm should buy

Divide price by allowance and the two tiers stop looking like a small step. Essentials is $99 for 150 email-finding credits, which is 66 cents per credit. Professional is $149 for 750, which is 19.9 cents. On monthly billing it is 92.7 cents against 26.5 cents. Professional costs 50 percent more per seat and delivers five times the credits, so the extra $50 buys 600 credits at about 8.3 cents each.

The practical rule is simple. If a recruiter reveals more than about 150 contacts a month, and anyone running genuine outbound on two or three reqs does, Essentials runs dry and Gem publishes no overage price to top it up. Buy Professional. If the firm mostly works inbound applicants, referrals and its own database, Essentials is the cheapest published way into a real agency ATS and CRM on the market, and we rank it that way in the best recruiting CRM for staffing agencies.

The user caps matter as much as the credits. Essentials stops at three users, so the fourth hire moves the whole account to Professional, since Gem recommends one license type for everyone. For a firm going from three to four recruiters that is a jump from $3,564 to $7,152 a year, roughly double for one extra person. Plan the upgrade before the hire, not after.

Where the Gem AI suite sits, and why it matters for the price

Gem sells itself as an AI-first platform, and the in-house page leads with its AI Sourcing Agent, AI Application Review Agent, AI Talent Rediscovery Agent and AI Fraud Detection Agent. On the recruiting firm card, the line AI suite: Sourcing, Application Review, and Sequences appears on Enterprise and on neither of the priced plans. For in-house buyers, Gem's feature table splits every workflow into a Standard seat and an AI-Powered seat, with the agents, AI-personalized outreach and AI ranking listed under the AI-Powered one.

So the $99 and $149 seats buy a well-built manual workflow: sourcing, a CRM, sequences you write and send, an ATS and reporting. The parts that take hours off a recruiter's week are priced on a call. There is one more contradiction worth checking in a demo. Every card on the firm page carries the same blurb about connecting to your existing ATS with no migration. The FAQ on the same page says Essentials and Professional customers get the Gem ATS, and only Enterprise can connect a third-party ATS through the 16+ connectors, Bullhorn and Recruitee among them. If you plan to keep Bullhorn, ask which tier the integration is on before you sign.

Gem pricing for in-house teams and startups

In-house pricing is quoted on headcount, not recruiter count. Gem + Your ATS layers AI sourcing across 800M+ profiles, AI ranking, sequences and unlimited email-finding on top of Greenhouse, Workday or another ATS, with scheduling, analytics and fraud detection as add-ons. All-in-One replaces the stack with Gem's own ATS on one bill. Neither shows a price, and both ask you to talk to sales.

The Startup Program is the exception. For a company of 1 to 10 employees on a yearly term, the page shows $270 struck through and $130 a month. Companies under 30 employees get All-in-One free for six months and then 50 percent off a paid plan, and companies of 30 to 100 get reduced rates from day one without a sales call. Several pricing roundups still quote the startup plan at $270 a month with 500 AI sourcing credits; the page as read today shows the $130 figure and names no credit allowance.

Above the startup band, contract data is the best guide. Vendr, which sees real purchase orders, reports a median Gem contract of $25,700 a year across 233 purchases, with observed deals from $7,000 to $73,184 and an average saving of 20.44 percent against the first quote. Is Gem worth the money?

For a small recruiting firm, the published card is good value and unusually honest. Essentials at $99 a user gets a firm an ATS, a CRM and a sourcing extension in one system, which is most of the software a three-person agency needs, and Professional at $149 is a fair price for 750 email reveals a month. The limits are printed on the page, which is more than most vendors in this market will do.

The case against is about work, not price. On the priced tiers a recruiter still writes each search, reads each profile, decides who is worth a credit, writes the sequence and screens the replies. The agents that do some of that are on Enterprise. And a firm already committed to Bullhorn or another ATS gets less from the published tiers, since third-party ATS integration is an Enterprise feature.

Questions to ask before you sign a Gem contract

Which tier includes the AI agents we saw in the demo? The firm card places the AI suite on Enterprise, so if the demo showed AI sourcing or application review, get the quote to name the tier it is on and its price.

Can we keep our current ATS on this tier? On the firm card, third-party ATS connectors are an Enterprise feature. On the in-house side, confirm whether you are being quoted Gem + Your ATS or All-in-One, since they are different products.

What does an extra email credit cost, and do unused credits carry over? Gem publishes 150 and 750 credits per user a month and no overage rate. Get the answer in writing before you commit a year.

What is the renewal increase? Vendr reports buyers saving about 20 percent against the first quote, which tells you the first quote is negotiable. Ask for a cap on the year-two price while you still have room to negotiate, and compare it against hireEZ vs Gem if hireEZ is on your shortlist too.
